Our client has an immediate opportunity for a Proposal Coordinator to join their team
Position Overview: As a Proposal Coordinator, you will play a key role in our proposal development process, ensuring that all submissions are well-researched, meticulously scrutinized, and then delivered on time. You will also support other administrative functions within the firm to help maintain smooth operations. This position requires excellent organizational skills, specific attention to detail, an ability to prioritize and the ability to work collaboratively in a fast-paced environment.
Responsibilities:
Proposal Development:
o Assist in the writing, editing, and production of EOIs, RFPs, and other proposal documents.
o Conduct thorough research to gather necessary information for proposal responses. o Coordinate with internal teams and external partners to compile and organize proposal content.
o Ensure compliance with proposal requirements and guidelines.
Production and Delivery:
o Manage the production process of proposals, including formatting, proof-reading, printing, and binding.
o Ensure timely submission of all proposal documents, both electronically and in hard copy. o Track and manage proposal deadlines and schedules.
Research and Analysis:
o Perform market research to identify potential opportunities and gather intelligence on industry trends.
o Analyze client needs and requirements to tailor proposals accordingly.
o Maintain a database of proposal content, templates, and previous submissions for future reference.
o Maintain marketing material in a current state.
Administrative Support:
o Provide general administrative support, including scheduling meetings, managing calendars, and organizing files.
o Assist in the preparation of reports, presentations, and other business development materials.
o Support office operations and assist with various administrative tasks as needed.
Qualifications:
• Bachelor’s degree in Business Administration, English, Marketing, Communications, or a related field.
• Previous experience in proposal writing, research, project coordination, or administrative support within a professional services firm is preferred.
• Excellent written and verbal communication skills.
• Excellent organizational and time management abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Experience with proposal management, Customer Relationship Software and InDesign software platforms is an asset.
• Ability to work both independently and collaboratively within a team environment. • Detail-oriented with an unwavering commitment to producing high-quality work.
